Summary We are seeking a proactive and organized Business Development Coordinator to support our Business Development team. This exciting role will play a critical part in driving our growth by leveraging AI in producing high-quality proposals, maintaining our CRM system, coordinating meetings, updating sales pitch decks, and performing other essential tasks to support the team’s success. The ideal candidate is detail-oriented, thrives in a fast-paced environment, experienced with AI use cases and has excellent communication and multitasking skills.

Essential Duties and Responsibilities:

On-site Presence and Reliability: Arrive at the job site promptly at the required start time as indicated by the Supervisor.
Quality Assurance: Regularly review the work completed to ensure it meets Kovach's high-quality standards.
Safety and Communication: Strictly adhere to Kovach's safety protocols, job site-specific requirements, and reporting injuries. Immediately communicate any safety concerns to the Supervisor.
Work Ethics: Motivated to work hard, productive, and efficient on the job.
Good Listener: Able to follow simple directions and communicate effectively.
Problem Identification: Proactively identify and report potential problems to the Supervisor.

Key Responsibilities

Support the maintenance of strong client relationships by coordinating communications, scheduling meetings, and utilizing AI-driven CRM platforms to personalize client interactions and predict client needs.
Proposal Development: Create, edit, and format compelling proposals and presentations to support business development efforts, ensuring accuracy and alignment with client needs.
CRM Management: Update and maintain accurate records in the Customer Relationship Management (CRM) system, including client interactions, leads, and opportunities.
Meeting Coordination: Schedule and organize internal and external meetings, including preparing agendas, reserving meeting spaces, and coordinating logistics for client or team engagements.
Sales Pitch Deck Updates: Assist in updating and refining sales pitch decks to ensure they are current, visually appealing, and aligned with company branding and messaging.
Lead Generation Support: Research and qualify potential leads to support the team’s pipeline development through online research, outreach, or monitoring inbound inquiries.
Event Coordination: Organize logistics for trade shows, networking events, or client meetings, including booth setup, promotional materials, and post-event follow-up.
Data Analysis and Reporting: Generate reports on business development metrics (e.g., conversion rates, pipeline growth) to support strategic decision-making and track team progress.
Client Communication: Draft professional correspondence, such as follow-up emails and thank-you notes, to nurture client relationships and support team outreach.
Competitive Intelligence: Monitor competitor activities, pricing, and market trends to provide insights that inform business development strategies and pitches.
Administrative Support: Provide general support to the Business Development team, including data entry, report generation, and managing correspondence.
Research and Analysis: Conduct research on market trends, competitors, and potential clients to support strategic business development initiatives.
Collaboration: Work closely with marketing, sales, and other departments to ensure seamless execution of business development strategies.

Qualifications

Education: Bachelor’s degree in Business Administration, Marketing, Communications, or a related field (or equivalent experience).
Experience: 1-3 years of experience in a coordinator, administrative, or business development role. Experience with CRM systems (e.g., Salesforce, HubSpot) is a plus.
Experience with AI Use Cases: Demonstrated experience leveraging AI technologies, such as machine learning, natural language processing, or predictive analytics, in business development or sales processes (e.g., AI-driven lead generation, customer segmentation, or process automation).

Skills:

Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
Excellent organizational and time-management skills with the ability to prioritize tasks.
Detail-oriented with a focus on delivering high-quality work.
Ability to work independently and collaboratively in a team environment.
Familiarity with proposal writing, sales support, or data analysis is an advantage.
