Job Summary
The Admissions Supervisor is responsible for overseeing daily operations in Axiom Care’s Admissions department, which fields calls from those seeking addiction treatment and helps facilitate their entry into one of Axiom Care’s programs. The Admissions Supervisor hires, trains, and supervises Admissions staff and ensures department performance goals are met. They are also responsible for building and maintaining relationships with current and prospective referral sources through a variety of marketing and network activities.
Although this is primarily a work-from-home position, the Intake Admissions Supervisor must be available for occasional in-person meetings, marketing events, etc. in the Phoenix Metro area.
Duties/Responsibilities
• Manage the Admissions Representatives and the intake systems and processes, while looking for opportunities of improvement.
• Accomplishes Admissions department human resource objectives by selecting, orienting, training, assigning, scheduling, coaching, counseling, and disciplining employees; communicating job expectations; planning, monitoring, appraising job contributions; recommending compensation actions; adhering to policies and procedures.
• Lead team meetings, handle correspondence and assist with the collaboration of professional learning and professional development.
• Continually develop internal department policies and procedures and ensure that they are upheld.
• Ensure all inbound calls are answered promptly.
• Audit call recordings for each intake staff member regularly to ensure proper handling of calls.
• Ensure all leads (voicemails, emails, chats, etc.) are followed up with promptly.
• Verify insurance benefits – help coach prospective clients or their families through AHCCCS enrollment if needed.
• Utilize independent judgment to determine whether callers are willing and able to attend treatment and are a fit for an Axiom Care program. Refer to a local partner facility if necessary.
• Ensure accurate pre-assessment and insurance verification of prospective patients.
• Ensure accurate documentation by intake staff in EMR and CRM.
• Follow-up with previous callers and referral sources whenever possible.
• Build and maintain strong working relationships with company stakeholders and referral sources; continually seek feedback from company stakeholders and referral sources to seek areas for process improvement and training opportunities.
• Coordinate all intakes with facility managers to ensure a seamless entry into treatment.
• Assist in crisis situations and provide interventions based on training and experience when necessary.
• Work closely with colleagues and other departments to maintain knowledge about current program offerings and availability.
• Field incoming calls as necessary when all other Admissions staff members are unavailable.
• Other duties as assigned or necessary to support the program and/or Axiom Care as assigned by management.
• Build and cultivate a list of referral sources including but not limited to hospitals, other behavioral health/addiction treatment facilities, universities, individual therapists, unions, police departments, fire departments, and professional organizations through a variety of marketing and networking efforts.
• Develop strong relationships with referral sources not only to generate referrals to Axiom Care but as aftercare options for Axiom Care patients or alternatives for prospective Axiom Care patients.
• Travel locally to network and market Axiom Care.
• When contacted by referral source about a prospective patient referral, either complete Admissions process personally or perform warm hand-off with Admissions Representative.
• Maintain knowledge of current clinical practices and Axiom Care business processes.
• Execute all efforts in an ethical and professional manner assuring a favorable impression of self and Axiom Care.

Required Skills/Abilities:
• Bilingual (English-Spanish) is a plus.
• Ability to maintain unwavering compassion and empathy over the phone is a must
• Demonstrated time management and organizational skills.
• Ability to work independently with minimal supervision.
• Developed knowledge of the field within the scope of Business Development.
• Very strong interpersonal skills and customer service orientation.
• Strong working knowledge of and commitment to ethical business practices.
• A valid driver’s license and means of transportation with a proven safe driving record.
• Working knowledge of the Microsoft suite.
• Ability to use CRM.
• Strong computer and email skills.
Education and Experience
• At least two years personal or professional experience in substance abuse treatment and recovery preferred.
• At least two years of managerial experience. Call center and/or remote management experience preferred but not required.
• At least one year in customer service or sales preferred.
• High school diploma or equivalent.
Physical Requirements:
• Prolonged periods of sitting at a desk and working on a computer.
• Must be able to lift up to 15 pounds at times.
